Monthly Retainer
This section establishes the continuous retainer relationship between the WordPress Maintenance Provider ('Provider') and the Client. Services are rendered on a recurring monthly cycle to ensure site health, security, and baseline stability. The monthly retainer fee reserves designated technician availability, staging server allocation, and automated monitoring software licenses necessary to maintain the Client's WordPress installation.
Included Services
The monthly retainer covers routine site care limited exclusively to the following deliverables:
- Weekly updates for WordPress core, active themes, and active plugins, performed in a staging environment prior to production deployment.
- Daily off-site backups stored securely with a 30-day rolling retention policy.
- Continuous security scanning, basic firewall configuration, and uptime monitoring.
- Database optimization and spam comment purge executed monthly.
- Up to two (2) hours total per monthly billing cycle for minor visual tweaks, text edits, or graphic swapping on existing pages.
Payment Due Date
Retainer fees are billed in advance on the first (1st) calendar day of each monthly billing cycle. Provider will issue an automated payment link or invoice process through MicroFreelanceHub. Payment must clear before monthly maintenance workflows, staging tests, or plugin updates are executed. If payment is not received within five (5) business days of the due date, automated monitoring and backup services will be temporarily paused.
Approval Workflow
Any technical adjustments, emergency patches, or visual edits outside the standard maintenance routine require explicit written confirmation. When maintenance tasks or client requests exceed included limits, Provider will issue a digital approval request containing a scope outline and estimated fee. Provider will not commence out-of-scope work until the Client approves the record and submits the required payment link deposit.
Unused Time
Monthly retainer allocations, including monthly editing hours, operate on a 'use-it-or-lose-it' basis. Unused hours or services do not roll over to subsequent months, cannot be converted into cash credits, and cannot be transferred to other website properties. This structure guarantees dedicated monthly developer availability without creating backlogged hour liabilities.
Additional Work
Services falling outside the Included Services—such as custom theme creation, plugin development, major WooCommerce gateway reconfigurations, full site redesigns, or third-party code repairs caused by external software updates—are classified as Additional Work. Additional Work will be quoted separately at the Provider's standard hourly rate or flat-rate project fee and billed upfront prior to execution.
Cancellation
Either party may terminate this Maintenance Agreement by providing a written thirty (30) day advance notice. Retainer fees paid in advance for the current billing cycle are non-refundable. If the Client terminates the agreement, the Provider will deliver a final full site backup archive and remove all proprietary monitoring tools upon conclusion of the final paid month.
Third-Party Plugin Failures
Updates released by third-party developers can break production sites, causing clients to blame the maintenance provider for repair costs without extra pay.
Scope Creep via 'Quick Edits'
Clients frequently stretch routine maintenance to include continuous landing page creation, major content overhauls, and full structural site redesigns.
Unpaid Resource Reservation
Allocating weekly calendar time and staging environment servers without upfront retainer payments leads to lost revenue if clients pay late or ghost.
What is a WordPress Maintenance Provider Retainer Payment Agreement?
A WordPress maintenance retainer payment agreement is a contract binding a client to recurring upfront payments for routine site care, plugin updates, security monitoring, and minor edits. It defines strict service boundaries, enforces a zero-rollover policy for unused hours, and sets pre-approved rates for emergency technical fixes.
Built from real freelance projects
This template is based on real-world scenarios across freelance projects where unclear scope, missing payment terms, and revision creep led to lost revenue. It is designed to protect your time, define expectations, and ensure you get paid.
Why WordPress Maintenance Providers need a clear retainer payment agreement
Maintaining WordPress websites without a recurring retainer agreement exposes freelancers to unpredictable unpaid labor, scope creep, and immediate client friction when third-party updates break live environments. Clients often assume an initial website build includes unlimited lifetime support, leading to late-night panic messages when plugins conflict or malware strikes. A specialized WordPress retainer agreement sets firm operational boundaries before issues occur. It guarantees that you receive payment in advance for reserved server resources, automated backups, and routine updates, transforming ad-hoc support requests into a predictable monthly revenue stream. Furthermore, it codifies exact protocols for handling broken updates or out-of-scope feature requests, establishing transparent emergency hourly rates. MicroFreelanceHub streamlines this by attaching your client approval workflow and recurring deposit links directly to this contract, ensuring payments clear reliably every month before you execute maintenance workflows, updates, or staging tests on live production sites.
Real-world scenario
Consider a freelance developer managing a high-traffic WooCommerce store. On the third month of service, a critical payment gateway plugin update conflicts with the theme, breaking the site's checkout flow. Without a clear retainer contract, the client demands immediate, uncompensated emergency fixes, claiming maintenance covers everything. Because the provider used this MicroFreelanceHub agreement, the rules were crystal clear: routine updates were billed upfront on the 1st, emergency conflict resolution beyond basic restores was explicitly out-of-scope, and work required prior client approval. Using MicroFreelanceHub's approval and payment link workflow, the developer flagged the conflict from the staging log, sent an emergency scope approval with a 1-hour deposit link, and received instant authorization and funds. The fix was applied cleanly without losing money or burning late-night hours unpaid, demonstrating how structured agreements protect both parties during critical technical incidents.

Frequently Asked Questions
What happens if a plugin update breaks the live site?
The agreement includes a full site restoration from the latest daily backup as part of the retainer. Resolving underlying plugin code conflicts or customizing replacement plugins is classified as Additional Work and billed separately upon client approval.
Can clients carry unused maintenance hours over to next month?
No. Included support or edit hours expire at midnight on the final day of each monthly billing cycle. This prevents client hour-hoarding and keeps workload management predictable.
