Project Milestones
This Agreement structures the CRM Implementation into distinct, sequential milestones. Progressing from one project phase to the next requires written client approval of deliverables and full payment clearance for the current milestone. Work will immediately pause if milestone payments or required approvals are delayed.
Deliverables by Phase
The Consultant agrees to deliver specific technical configurations broken down across the following phase structure:
- Phase 1: Architecture & Data Mapping – System audit, technical requirements document, deal pipeline blueprint, custom property schema, and legacy data cleaning guidelines.
- Phase 2: CRM Build & Data Migration – Portal configuration, custom property creation, lead routing rules, legacy contact/company/deal data import, and primary third-party integrations (e.g., email, calendar, forms).
- Phase 3: Automation & Custom Dashboards – Execution of agreed workflow automations, internal notifications, deal stage triggers, and executive/sales reporting dashboards.
- Phase 4: UAT, Training & Admin Handoff – Conducted User Acceptance Testing (UAT), fix resolution, end-user training session, provision of recorded documentation, and Super Admin credential transfer.
Approval Criteria
Deliverables for each phase will be submitted via MicroFreelanceHub for written review. The Client has five (5) business days from delivery to test and approve deliverables or provide a written, consolidated list of technical revisions strictly reflecting original project scope. If no written feedback or approval is submitted within seven (7) business days, the milestone will automatically be deemed approved and accepted, triggering the corresponding milestone invoice.
Payment Schedule
Payments must be remitted via MicroFreelanceHub using the structured milestone payment links provided:
- Milestone 1 (Deposit & Architecture): 30% of total project fee due upon agreement signing prior to work commencement.
- Milestone 2 (Build & Data Migration): 40% due upon sign-off of Phase 1 deliverables and prior to initiating CRM build and data import.
- Milestone 3 (Automations & Dashboards): 20% due upon sign-off of Phase 2 deliverables and prior to advanced workflow automation setup.
- Milestone 4 (Final Handoff & Training): 10% due upon completion of UAT and prior to live training sessions and Super Admin ownership transfer.
Late Payment
Milestone payments not received within five (5) calendar days of invoice generation will incur a late fee of 1.5% per month or the maximum legal rate allowed. All technical configuration, data migration, and API integration activities will cease immediately if any milestone payment becomes overdue. Re-activation of technical work requires payment of outstanding balances plus a 5% rescheduling fee.
Change Requests
Any request for work outside the defined scope—including additional custom properties, unplanned data cleanup, extra pipeline workflows, custom API script creation, or additional training sessions—must be documented as a formal Change Order. Change Orders require a separate cost quote, approval, and an upfront deposit paid via MicroFreelanceHub before additional technical labor begins.
Final Delivery
Final system ownership, master administrator credentials, and complete documentation transfers will occur exclusively upon full clearance of all milestone payments. The Consultant retains administrative ownership and configuration access to the CRM instance until final milestone payment links confirm successfully settled funds.
Dirty Data & Migration Inflation
Clients providing unformatted, corrupted, or bloated legacy data spreadsheets requiring uncompensated manual cleanup hours prior to CRM import.
Endless UAT & Automation Revision Loops
Stakeholders repeatedly requesting changes to sales pipeline logic, automation triggers, or custom dashboard layouts outside original scope.
Delayed Stakeholder Testing Freezing Final Pay
Clients stalling internal user acceptance testing for months while holding back final launch payments for fully built system setups.
What is a CRM Implementation Consultant Milestone Payment Agreement?
A CRM Implementation Consultant Milestone Payment Agreement structures complex CRM rollouts into clear, paid stages. It requires client sign-off and milestone payment before unlocking subsequent project phases, enforcing payment for completed technical setup and protecting cash flow against delayed client feedback or creeping scope.
Built from real freelance projects
This template is based on real-world scenarios across freelance projects where unclear scope, missing payment terms, and revision creep led to lost revenue. It is designed to protect your time, define expectations, and ensure you get paid.
Why CRM Implementation Consultants need a clear milestone payment agreement
CRM implementations are deceptively complex multi-stage technical projects. Without a structured milestone payment agreement, CRM consultants risk completing 80% of data migration, pipeline setup, and third-party API integration, only to get stuck waiting weeks for a client's team to sign off on user acceptance testing (UAT). When billing is tied only to final project launch, client delay tactics, internal re-organizations, or slow feedback directly freeze your cash flow. MicroFreelanceHub's milestone framework enforces strict payment gates between key phases: technical discovery, system architecture, data migration, automation buildout, and team training. By requiring written sign-off and milestone payment link clearance before advancing to subsequent setup phases, you protect your business against unpaid scope creep and endless feedback loops. You ensure every hour spent mapping custom properties, configuring deal stages, and migrating legacy data is funded upfront or paid immediately upon stage completion.
Real-world scenario
A CRM consultant contracted a $12,000 Salesforce migration with 50% paid upfront and 50% due at launch. The consultant spent 60 hours configuring complex data mapping, custom objects, Zapier webhooks, and 14 sales automation rules. However, the client's Sales Director went on leave, stalling User Acceptance Testing for two months. Because final payment was tied strictly to go-live, the consultant remained unpaid for over 40 hours of completed build work. Using MicroFreelanceHub's milestone payment template, the consultant restructured future projects into three gated stages: Architecture & Mapping (35%), Build & Migration (40%), and UAT & Handoff (25%). When clients delay UAT under the new agreement, the 7-day auto-approval clause triggers the milestone payment, keeping cash flow steady regardless of internal client bottlenecks.

Best practices for CRM Implementation Consultants

Cap User Acceptance Testing Cycles
Limit UAT feedback to two consolidation rounds over 10 business days; additional rule tweaks require an executed Change Order.

Frequently Asked Questions
What happens if a client takes weeks to provide legacy data export files?
The agreement includes a client delay clause. If missing client assets stall project progression beyond 10 business days, the current milestone auto-bills for work completed to date, and project completion dates are adjusted accordingly.
How do milestone payment gates protect CRM consultants from scope creep?
Milestone payment gates freeze technical progress until the previous phase is reviewed, approved, and paid. The consultant will not begin building automations or migrating data until the client approves the field mapping blueprint and clears the stage deposit.
