Stop losing money on Zapier Consultant projects.
Send your first 3 deposit and approval agreements for free. Don't hand over your API keys or transfer Zap ownership until you are paid. Zapier consultants face a unique risk: once an automation is live in a client's account, your leverage disappears. This template secures your upfront deposit and locks in client testing before final handoff.
No credit card required. Setup takes 30 seconds.
Build the agreement, add your deposit amount, and send one secure client link for signature and payment.
Statement of Work
Ref: 2026-001 • Standard Business Template
1. Kickoff Deposit and Payment Protection
Work on the automation project will only begin once the Client has paid a non-refundable Deposit of [Deposit Percentage]% of the total project value. This deposit secures project scheduling and covers initial system architecture and API analysis. All payments under this Agreement must be processed via the MicroFreelanceHub secure payment link.
2. Automation Scope & API Mapping
The Consultant will configure integrations using Zapier to connect the specified applications. The specific triggers, actions, filters, paths, and formatting steps are detailed in the attached API Mapping Document. Any requests to integrate applications not listed in the original scope or to map fields not included in the initial design will require a formal change order and additional fees.
3. Client Testing & Sandbox Validation
The Consultant will build and demonstrate the Zaps within a sandbox, staging, or Consultant-owned Zapier account. The Client is solely responsible for providing valid sandbox test data and performing end-to-end user acceptance testing. Testing must be completed within [Number] business days of the Consultant notifying the Client that the staging environment is ready for validation.
4. Written Approval Criteria
The Client must provide written approval or a consolidated list of corrective feedback within the designated testing window. Approval is defined as verification that the Zap triggers, filters, formats, and actions perform according to the documented API Mapping. Written approval must be submitted through the MicroFreelanceHub workspace approval record before any system transfer is initiated.
5. Revision Limits and Scope Creep
This Agreement includes up to [Number] rounds of revisions during the testing phase. Revisions are strictly limited to correcting errors or adjusting existing fields within the original API Mapping. Requests for new workflow paths, additional multi-step branches, custom Javascript/Python code blocks, or additional third-party app connections are excluded and will be billed at the Consultant's hourly rate of [Hourly Rate] per hour.
6. Final Payment Milestone
Upon successful testing and prior to any production deployment, the final milestone payment of [Remaining Percentage]% is immediately due. The Client must settle this outstanding balance via the provided MicroFreelanceHub payment link. Work will not progress to the production environment, and no credentials or Zap assets will be delivered, until payment clearance is fully confirmed.
7. Ownership Transfer and System Handoff
Once final payment has cleared, the Consultant will transfer ownership of the Zap folders to the Client's Zapier account or hand over the active sharing links. The Client is solely responsible for updating the billing information within their own Zapier account, managing monthly task usage, and maintaining third-party API subscriptions. Following transfer, any post-handoff maintenance, troubleshooting of external API changes, or task run monitoring will be executed under a separate support agreement.
Instant Transfer Leverage Loss
Transferring Zap ownership or folder access to a client before receiving final payment immediately removes your operational leverage, leaving you vulnerable to non-payment while they run your automations.
Third-Party API & Payload Changes
External software platforms frequently update their endpoints, schemas, or webhook payloads, which can break your Zaps mid-project and cause disputes over who covers the rebuild costs.
Unchecked Testing and Infinite Loop Fees
If a client fails to perform timely sandbox testing, or triggers infinite loops during configuration, the consultant is often unfairly blamed for task consumption overages or system downtime.
What is a Zapier Consultant Deposit and Approval Agreement?
A Zapier Consultant Deposit and Approval Agreement secures a non-refundable upfront deposit before configuring complex API mappings, enforces client-led testing in sandbox environments, and mandates written approval and final milestone payment clearance through a secure MicroFreelanceHub payment link before transferring active Zap folders or live integration ownership to client accounts.
Built from real freelance projects
This template is based on real-world scenarios across freelance projects where unclear scope, missing payment terms, and revision creep led to lost revenue. It is designed to protect your time, define expectations, and ensure you get paid.
Why Zapier Consultants need a clear deposit and approval agreement
For Zapier consultants, code-free automation looks deceptively simple to clients, which often leads to undervalued expertise and rampant scope creep. When you build complex multi-step Zaps, webhooks, and custom code blocks, you are configuring business-critical infrastructure. If you transfer ownership of these Zaps to the client's account before securing final payment, you lose all leverage to collect outstanding fees. This Deposit and Approval Agreement acts as your financial and operational shield. By locking in a non-refundable deposit before configuring API endpoints and requiring structured, client-led testing before the final transfer of ownership, you protect your intellectual property. It establishes clear boundaries where the client must actively test and approve the data mappings in a staging environment. This structured approach ensures you get paid for your technical setup, prevents unpaid system handoffs, and ensures clients take complete structural ownership of their own third-party API dependencies from the very first active day.
Real-world scenario
A Zapier consultant was hired to integrate a client’s custom CRM with Shopify and HubSpot using complex webhook filters and data formatting steps. The consultant built the automation directly in a sandbox account and requested final payment before transferring the Zaps to the client’s live account. The client delayed payment, claiming they needed to run 'unlimited real-world tests' first, effectively trying to use the system for free. Because the consultant used this Deposit and Approval Agreement, they had a legally binding clause requiring a 50% upfront deposit to start, and a strict 5-day client testing window in sandbox. When the client refused to pay the remaining balance while demanding live deployment, the consultant paused the transfer without breaching the contract. The client, realizing they could not run their live workflows without the final transfer, promptly paid the remaining invoice via the MicroFreelanceHub secure payment link to resolve the system freeze.

Best practices for Zapier Consultants
Develop in a Sandbox or Consultant Account First
Always configure and test multi-step Zaps in your own agency account or a restricted sandbox. Only transfer the Zap to the client's billing account once the final milestone payment has cleared.
Define Explicit Task and API Rate Limits
Clearly document that your deliverables are based on current API specifications and expected task volumes. Specify that future API updates or task overages are billed under a separate maintenance retainer.

Frequently Asked Questions
Can I withhold transferring the Zapier folders if the client refuses to pay?
Yes. This agreement explicitly states that ownership transfer and live account deployment are strictly conditional upon final payment clearance. You retain all intellectual property and access controls in your staging environment until the final invoice is paid.
What happens if a third-party API changes its structure during development?
The contract includes an 'API Stability' clause stating that deliverables are based on API configurations active at contract signing. Any changes required due to external platform updates are treated as out-of-scope and billed separately.
