Retainer Agreement

Ref: 2026-001 • Standard Business Template

1. Scope of Recurring Services

The Consultant agrees to provide the following monthly social media services: [List Platforms, e.g., Instagram, TikTok]. The scope is limited to [Number] posts per week and [Number] hours of community management. Any services requested outside of this scope will be billed at an additional hourly rate of $[Rate].

2. Retainer Fee & Payment Terms

Client shall pay a non-refundable monthly retainer fee of $[Amount]. This fee is due on the [Date] of each month prior to the commencement of services. Work will be paused immediately if payment is not received within [Number] days of the due date.

3. Reserved Capacity (The 'Use It or Lose It' Policy)

The Retainer Fee compensates the Consultant for reserving a specific block of time and priority. Unused hours or deliverables do not roll over to subsequent months. Failure by the Client to provide necessary assets, logins, or approvals does not entitle the Client to a refund or credit.

4. Late Materials & Rush Fees

All content assets (images, copy, products) must be provided by the Client at least [Number] days prior to the scheduled post date. Materials provided late may be subject to a 'Rush Fee' of $[Amount] or may result in a delay of the posting schedule at the Consultant's discretion.

5. Communication & Boundaries

Consultant is available for communication during standard business hours ([Time Zone]). Responses to DMs, emails, or texts sent outside these hours will be handled on the next business day. Emergency support is not included in this retainer unless explicitly stated in an Addendum.

6. Term and Termination

This agreement shall remain in effect on a month-to-month basis. Either party may terminate this agreement by providing [30/60] days' written notice. The final month's retainer must be paid in full regardless of whether the client utilizes the services during the notice period.

The Ghosting Penalty

If a client fails to provide brand assets or approvals, you lose billable time while remaining 'available' and unable to take on other work.

The Platform Multiplier

Clients often assume 'social media' includes every new platform that launches (like Threads or TikTok) without a corresponding fee increase.

The Feedback Loop Hole

Infinite rounds of revisions on a single Reel can turn a profitable 1-hour task into a 10-hour loss if not capped in the retainer.

What is a Social Media Manager Retainer?

A Social Media Manager Retainer is a recurring service agreement where a client pays a fixed monthly fee to secure a set amount of content or management hours. It ensures the freelancer is paid for their reserved capacity, regardless of whether the client utilizes the full scope that month.

Built from real freelance projects

This template is based on real-world scenarios across freelance projects where unclear scope, missing payment terms, and revision creep led to lost revenue. It is designed to protect your time, define expectations, and ensure you get paid.

Why Social Media Managers need a clear retainer

A Social Media Manager Retainer is the only thing standing between a profitable career and total burnout. Social media is inherently volatile; trends shift hourly and platforms never sleep. Without a retainer, you are at the mercy of 'scope creep,' where a simple '3 posts a week' agreement slowly mutates into community management, influencer outreach, and 24/7 crisis control—all for the same price. This document shifts the relationship from 'pay-per-task' to 'pay-per-availability.' It guarantees your monthly cash flow, allowing you to plan your business expenses and capacity. More importantly, it sets the legal expectation that your time is a finite resource. By defining exactly when you work, what platforms you touch, and what happens when a client misses a content deadline, you protect your sanity and your bottom line.

Real-world scenario

Sarah, a freelance SMM, had a client who consistently forgot to send product photos until the 25th of every month, then demanded 15 posts be live by the 30th. Because Sarah had a Retainer Agreement with a 'Late Materials' clause and a 'No Rollover' policy, she was able to charge a 25% rush fee for the end-of-month crunch. When the client tried to argue that they 'already paid for the month,' Sarah pointed to the contract which stated her fee covered her availability during weeks 1-3. The client realized their disorganization was costing them extra money and started delivering assets on time. Sarah kept her $4,000 monthly fee and regained her weekends.

Frequently Asked Questions

Can the client carry over unused posts to next month?

No. Retainers pay for your availability during a specific window. If they don't use the 'slot,' it expires to ensure your capacity is managed properly.

What happens if a post goes viral and requires 24/7 engagement?

The agreement should specify that community management beyond a certain number of hours per day triggers an 'Overload' fee or an additional hourly rate.
