Statement of Work

Deliverable Review Protocol
The SaaS Onboarding Consultant will deliver the configured assets (such as CRM pipelines, email sequencing triggers, API integration hooks, and user mapping rules) to the Client within a staging or sandbox environment. The Client agrees to review all delivered workflows against the agreed-upon technical specification document. Both parties acknowledge that review is strictly limited to the functional capabilities defined in the project scope.
Acceptance Criteria
To ensure objectivity, the onboarding configurations shall be deemed approved when they satisfy the following technical criteria:
- Successful API response codes (e.g., 200 OK) for all third-party integrations and webhooks.
- Correct custom property and lifecycle stage mapping as verified by test contact records.
- Automated dispatch of the welcome sequence upon simulation of user registration triggers.
Revision Limits
The Client is entitled to a maximum of two (2) rounds of consolidated revisions. Revisions must be submitted in a unified, written document via email or the MicroFreelanceHub client portal. Revision requests must strictly focus on correcting configurations that do not meet the original Acceptance Criteria. Requests for new fields, additional integrations, or different software platforms will be deemed out of scope and require a separate change order.
Approval Deadline
The Client has five (5) business days from the date of staging delivery to test the onboarding configuration and either submit revision requests or execute the digital approval sign-off. If the Client fails to provide written feedback or sign off within this 5-day window, the milestone will be automatically marked as Approved, triggering the release of the final invoice.
Final Payment Authorization
By executing the digital approval signature on this agreement, the Client authorizes the immediate release of the remaining milestone payment via the MicroFreelanceHub payment link. The Consultant reserves the right to withhold the transfer of ownership, admin privileges, and live deployment of the onboarding configurations until the final payment is cleared in full.
Post-Approval Changes
Any modifications, API updates, integration fixes, or layout changes requested after the Client signs off on this approval agreement are outside the scope of this project. Such requests will be billed at the Consultant’s standard hourly consulting rate of $150/hour, or executed under a separate monthly system maintenance contract.
API and Third-Party Dependency Drift
Software updates or API changes by third-party tools (like Zapier, HubSpot, or Stripe) during the onboarding project can break workflows. Without an approval cutoff, you could be held liable for fixing external software bugs for free.
Vague User-Acceptance Testing (UAT) Delays
Clients frequently delay testing the new onboarding setup because their team is 'too busy', dragging out projects for months. Without strict auto-approval deadlines, your final payment remains locked indefinitely.
The 'One More Integration' Scope Creep
Once clients see automated workflows in action, they often request additional custom fields, extra segmented email paths, or new tool integrations under the guise of 'polishing' the initial setup.
What is a SaaS Onboarding Consultant Client Approval Agreement?
A SaaS onboarding consultant approval agreement is a legally binding milestone document that defines when a setup (e.g., HubSpot workflows, API mappings) is formally completed. It restricts revisions, establishes clear testing deadlines, and authorizes immediate release of final payments upon successful execution of technical acceptance criteria.
Built from real freelance projects
This template is based on real-world scenarios across freelance projects where unclear scope, missing payment terms, and revision creep led to lost revenue. It is designed to protect your time, define expectations, and ensure you get paid.
Why SaaS Onboarding Consultants need a clear client approval agreement
SaaS onboarding setup involves high technical complexity, integrating third-party APIs, CRM mappings, and user journeys. Without a formal, signed client approval agreement, consultants face a double-edged sword: endless scope creep disguised as 'minor tweaks' and delayed payments when the client fails to test the system in a timely manner. Clients often delay launching their platform, leaving freelancers waiting weeks for a final sign-off. By establishing a rigid, milestone-based approval protocol tied directly to payment links, you transform subjective feedback into binary, objective milestones. This agreement protects your cash flow by declaring that once an onboarding flow passes pre-defined integration tests (like a successful webhook trigger or an automated email sequence dispatch), it is legally approved. It prevents the client from raising historical complaints weeks later, ensuring that your technical labor is compensated immediately upon delivery of the functional configuration.
Real-world scenario
A SaaS onboarding consultant was hired to configure an enterprise HubSpot onboarding pipeline for a B2B platform. After completing 15 complex automation triggers, the client's product manager went silent for three weeks, ignoring requests to run live user-acceptance tests. When they finally responded, they claimed the onboarding flow was 'confusing' and demanded a complete restructuring of the user journey, while withholding the 50% final milestone payment. Because the consultant didn't have a structured approval agreement with auto-approval deadlines, they were forced to perform 20 hours of uncompensated out-of-scope redesigns to get paid. With this template, if a client fails to submit written feedback within 5 business days, the setup is deemed approved, the revision window closes, and the final payment link is automatically initiated, preventing silent clients from locking up your hard-earned revenue.

Best practices for SaaS Onboarding Consultants
Lock in Sandboxed Pre-Approvals
Always require clients to approve configurations in a staging or sandbox environment before pushing them to live production. Once a sandbox setup matches the checklist, get the digital sign-off.
Link Sign-Off to Instant Payment Prompts
Use MicroFreelanceHub to bundle the final approval signature with the payment prompt. Do not transition the onboarding flow to the client's live environment until the final milestone payment clears.

Frequently Asked Questions
What happens if a client’s API credentials change after they sign the approval?
The approval agreement states that once sign-off is complete, any maintenance, system breaks, or configuration changes due to client-side API credential updates represent out-of-scope work. These must be billed separately under a new hourly rate or maintenance agreement.
How can I handle a client who refuses to test the onboarding setup?
Our template contains an 'Auto-Approval' clause. If the client fails to provide written feedback or run testing workflows within 5 business days of delivery, the milestone is legally marked as approved, and the final payment invoice is authorized.
