Deposit Agreement
Ref: 2026-001 • Standard Business Template
Deposit Amount
The Client agrees to pay a nonrefundable upfront deposit equal to 50% of the total project fee prior to the commencement of any work. Work included under this deposit encompasses background intake, background data review, customer interview questionnaire prep, and initial interview outreach.
Payment Timing
All payments under this Agreement must be submitted via the designated MicroFreelanceHub payment links. The project payment schedule is structured as follows:
- 50% Nonrefundable Kickoff Deposit due prior to research and scheduling interview outreach.
- 25% Draft Milestone Payment due upon submission of the first complete case study draft.
- 25% Final Balance due prior to the release of final publication-ready files and licensing rights.
Refund Rules
The initial deposit secures calendar availability and compensates the Writer for pre-writing labor. Once customer outreach has been initiated or background research has commenced, the upfront deposit is strictly nonrefundable. If the project is terminated by the Client before draft completion, the deposit will be applied to cover all completed research, transcript analysis, and outline development.
Client Responsibilities
The Client agrees to provide warm introductions to the designated interview subject, supply relevant performance metrics, and handle all internal legal or PR clearances. If the Client or end-customer fails to schedule the interview or provide feedback within 14 business days of a request, the project timeline will be paused, and reactivation fees may apply.
Approval Milestones
To keep the project on schedule, the Client agrees to sign off on deliverables through formal approval checkpoints:
- Milestone 1: Outline & Interview Angle Sign-off – Written confirmation required before full drafting starts.
- Milestone 2: First Draft & Quote Accuracy Approval – Feedback must be consolidated and submitted within 7 business days of draft delivery.
Final Payment
The final payment link must be fulfilled before the release of final, un-watermarked documents, graphics, or commercial publication rights. If payment remains unpaid past the due date, work and licensing rights are withheld until cleared funds are received in full.
Cancellation
Either party may cancel this contract upon 3 business days written notice. Upon cancellation, the Writer retains the 50% deposit and will issue an invoice via payment link for any completed work beyond the deposit value based on completed milestones. All approved outlines and client sign-offs granted prior to cancellation remain binding.
Third-Party Customer Delays
The client's customer postpones interviews or delays quote approvals, stalling the project indefinitely while your schedule remains blocked.
Endless Executive Revisions
Client internal stakeholders demand major changes to approved narrative angles or revenue metrics late in the draft phase.
Uncompensated Pre-Interview Labor
Investing hours in product research and custom questionnaire building, only for the project to be canceled before customer outreach.
What is a Case Study Writer Deposit Agreement?
A Case Study Writer Deposit Agreement secures upfront payment—typically a 50% nonrefundable deposit—before interview scheduling and research begin. It protects freelance writers from client delays, third-party interview hold-ups, and scope creep by binding project timelines, formal milestone approvals, and direct payment links to defined deliverable stages.
Built from real freelance projects
This template is based on real-world scenarios across freelance projects where unclear scope, missing payment terms, and revision creep led to lost revenue. It helps clarify your time, define expectations, and make payment steps easier to manage.
Why Case Study Writers need a clear deposit agreement
Writing B2B case studies requires significant upfront work, including product research, questionnaire design, and coordinating third-party customer interviews. However, case study writers frequently face payment delays when client stakeholders or their end-customers stall quote sign-offs, cancel interviews, or go quiet for weeks during review. Without a dedicated deposit agreement, your time is held hostage while waiting for third-party approvals you cannot control. A structured deposit contract ensures you receive nonrefundable payment upfront to cover prep work and interview execution. By establishing clear milestone billing and securing initial funds before outreach begins, you eliminate the threat of unpaid research hours. MicroFreelanceHub streamlines this process by pairing your deposit agreement with integrated payment links and recordable client approvals. This workflow protects your cash flow, establishes professional boundaries, and keeps case study projects moving forward without financial risk.
Real-world scenario
Sarah, an enterprise SaaS case study writer, contracted a case study project for $3,000. She spent twelve hours analyzing client product metrics, preparing custom interview questionnaires, and conducting a recorded session with the client's VIP customer. After Sarah delivered the complete initial draft, the client's internal legal team delayed approval for two months before cancelling the initiative due to corporate restructuring. Fortunately, Sarah used MicroFreelanceHub's Case Study Writer Deposit Agreement. She secured a 50% upfront nonrefundable deposit ($1,500) via a payment link before conducting outreach, plus a 25% milestone payment ($750) upon delivering the narrative outline. Instead of working unpaid for over fifteen hours, Sarah retained $2,250 for completed deliverables. The contract's strict timeline holds, combined with clear milestone approval records, ensured her schedule and revenue were protected against unexpected client-side cancellations.

Frequently Asked Questions
Why shouldn't I start interview outreach before receiving a deposit?
Preparing customized interview questions and reaching out to high-value customers consumes significant time. Requiring a cleared deposit protects your calendar and confirms client commitment before you represent them to their external customers.
What happens if the client's customer refuses to sign off on quotes?
The agreement includes a clause stipulating that fees cover the writer's labor for interviewing and drafting. If a customer refuses quote approval, the deposit and completed milestone fees remain nonrefundable, though writer time can be credited toward an alternate case study.
