Project Milestones

This Airtable consulting project is divided into distinct, consecutive milestones. Work on any subsequent milestone will not commence until the preceding milestone has been formally approved in writing and its associated payment has cleared.

  • Milestone 1: Schema Architecture & Entity Relationship Diagram (ERD).
  • Milestone 2: Base Development, Formulas, & Data Linking.
  • Milestone 3: Native Automations, External Integrations, & Custom Interfaces.
  • Milestone 4: Client Training, Data Migration, & Workspace Ownership Transfer.

Deliverables by Phase

Each phase has predefined deliverables that must be met to satisfy the milestone criteria. No additional features, fields, or integrations will be built during these phases unless covered by a formal Change Request.

  • Phase 1 Deliverables: A visual ERD mapping out tables, fields, and field types, along with a written system architecture blueprint.
  • Phase 2 Deliverables: A functioning Airtable base built in the Consultant's workspace featuring structured tables, configured views (Grid, Kanban, Calendar), and verified formula/rollup fields.
  • Phase 3 Deliverables: Setup of up to 5 native Airtable automations, up to 2 third-party integrations (e.g., Make/Zapier), and up to 3 custom Airtable Interfaces for team roles.
  • Phase 4 Deliverables: Final data import from legacy systems, 2 hours of recorded Loom training, and the transfer of Creator ownership of the workspace to the Client.

Approval Criteria

To ensure steady momentum, the Client must review and approve deliverables at the end of each phase. Deliverables will be evaluated strictly against the specifications outlined in the Deliverables by Phase section.

The Client has exactly five (5) business days from the date of submission to review the deliverables and provide consolidated, written feedback. If no feedback is provided within this window, the milestone is deemed approved, the respective payment is triggered, and the next phase may begin.

Payment Schedule

Payments must be completed through the designated payment links provided by the Consultant. Work is gated by payments as follows:

  • Deposit: 40% of the total project fee is due upfront prior to the commencement of Milestone 1.
  • Milestone 2 Payment: 30% of the total project fee is due upon approval of the Milestone 1 deliverables.
  • Milestone 3 Payment: 20% of the total project fee is due upon approval of the Milestone 2 deliverables.
  • Final Payment: 10% of the total project fee is due upon approval of the Milestone 3 deliverables, prior to workspace transfer.

Late Payment

If any milestone payment is delayed by more than three (3) business days past the invoice or milestone approval date, all work on the project will pause immediately. The Consultant is not liable for any delays in the launch schedule resulting from late payments.

Resuming work after a payment delay requires all outstanding balances to be cleared, and may result in a rescheduling fee or a pushback of the final delivery date based on the Consultant's current availability.

Change Requests

Any requests for additional tables, fields, formula logic, automations, or third-party integrations not explicitly detailed in the original deliverables are considered out-of-scope. Scope changes will be documented using a Change Request form.

Out-of-scope requests will be billed at a flat rate of $150/hour or quoted as a separate fixed-price milestone. No work on out-of-scope requests will begin until the Client signs the Change Request and pays a 50% deposit for the estimated additional work.

Final Delivery

The final transfer of the Airtable base ownership will occur only after the final 10% payment, plus any outstanding Change Request fees, have cleared in full. The Consultant will maintain sole 'Creator' control of the base until this condition is met.

Once final payment is verified, the Consultant will invite the Client as a 'Creator' to the workspace, transfer billing ownership, and downgrade the Consultant's own access level or leave the workspace entirely as agreed.
