Parking-lot striping · Practical workflow guide
How to follow up on a parking-lot striping estimate
An unanswered estimate is a reason to check in, not evidence that a customer has accepted or rejected the work. A useful follow-up makes the original quote easy to find and gives the customer a simple next step.
1. Check what you actually quoted
Before writing, reopen the estimate. Check its reference, site, scope and validity period. For striping work, that might include restriping versus a new layout, the quoted markings, surface preparation and any stated access arrangements. Ask about missing details rather than inventing measurements, quantities or a start date.
2. Choose a sensible follow-up date
If the customer gave you a decision date, use that. Otherwise, a few business days after sending can be a starting point—not a rule that suits every project. A property manager waiting for budget approval may need longer. Avoid repeated daily messages, and stop if the customer declines or asks you not to contact them.
3. Keep the message specific and easy to answer
Use the estimate reference and project label. Ask one clear question. Avoid unsolicited discounts or suggesting that work is booked when it is not.

4. Record the response before planning another message
- Questions: answer them using the estimate and your actual availability.
- More time needed: agree on a suitable next check-in date.
- Accepted: confirm the agreed scope and scheduling steps in your usual workflow.
- Declined or do not contact: close the follow-up task.
5. Measure activity separately from results
Track estimates sent, follow-ups made, replies and accepted work separately. An open quote’s amount is not revenue. Do not attribute an accepted job to a follow-up solely because the message came first.
