Window Installer Deposit Agreement

This Window Installer Deposit Agreement (the "Agreement") is entered into by and between the service provider (the "Contractor") and the client (the "Client") as identified in the accompanying project proposal.

1. Project Deposit & Payment Schedule

The Client agrees to pay a deposit of fifty percent (50%) of the total project estimate (the "Deposit") to secure the project on the Contractor's schedule and initiate the ordering of materials. No fabrication orders will be placed, and no installation dates will be guaranteed, until this Agreement is signed and the Deposit has cleared in full.

2. What the Deposit Covers

The Deposit is specifically allocated to cover:

  • The direct cost of ordering custom-fabricated glass, frames, sash units, and specialized hardware.
  • Technician time for final precision on-site physical measurements.
  • Administrative costs and reserving the labor crew’s availability for the scheduled installation dates.

3. Materials Purchasing & Custom Orders

The Client acknowledges that the windows, doors, and/or glass panels specified in the project proposal are custom-fabricated to the unique dimensions of the Client's property. Once the Contractor submits these dimensions to the manufacturer, the order is non-cancelable and non-refundable. The Client authorizes the Contractor to place these manufacturing orders immediately upon the clearing of the Deposit.

4. Refund Conditions

If the Client cancels this Agreement prior to the Contractor performing final measurements and ordering materials from the manufacturer, the Deposit will be refunded minus a $250 administrative and site-visit fee. Once custom materials have been ordered from the manufacturer, the Deposit is 100% non-refundable, as the custom products cannot be returned or resold by the Contractor.

5. Start Date Authorization & Weather Delays

Any target installation dates discussed are good-faith estimates. The official installation date will be mutually scheduled only after the custom materials have been received and inspected at the Contractor's warehouse. Because window replacement requires exposing the interior of the property to the elements, the Client agrees that the Contractor reserves the right to reschedule installation due to rain, high winds, freezing temperatures, or other adverse weather conditions without penalty.

6. Client Responsibilities & Site Prep

The Client agrees to provide the Contractor’s crew with clear access to all interior and exterior window locations on the scheduled days. The Client is solely responsible for removing all window treatments, blinds, security sensors, furniture, and fragile decorations away from the work areas (minimum 4-foot clearance inside). The Contractor is not liable for damage to items left in the work area.

7. Hidden Structural Damage

The Contractor's estimate and this Agreement cover only the direct replacement of the specified window units. If, upon removing the existing frames, the Contractor discovers hidden structural defects, dry rot, water damage, insect infestation, or substandard framing, the Contractor will immediately halt work. The Client will be presented with a written Change Order detailing the additional labor and material costs required to repair the structural opening before the new window can be safely installed.

8. E-Signature Acceptance

By signing below, the Client and Contractor agree to the terms, payment structures, and refund conditions outlined in this Agreement. Digital signatures collected through MicroFreelanceHub shall be treated as original, legally binding signatures.
